The Situation

A significant label update and launch was coming from one of our client’s leading brands, and with it, a familiar but urgent and time-sensitive task: updating an entire speaker’s bureau with the new data. This meant training a bureau of 132 speakers through virtual live sessions, complete with registration and tracking. Our team has run virtual live training like this many times, yet what made this one different was the timing and the turbulence surrounding it.
Word of the update came in mid- December, just before the client’s two-week holiday break. That left a razor-thin runway to prepare, and an early-year deadline that could not be moved. Our normal protocol is to allow six weeks for setup and execution. For this project, we had half the time. To complicate matters further, we worked with three different brand leads in a matter of weeks as internal reorganization played out on the client’s side.
Each team member’s transition meant a new point of contact, a new communication style, and the need to re-explain context and process, all while the clock kept ticking. If this wasn’t done by the deadline, the field wouldn’t be able to deploy their speaker programs in time for launch.
How We Managed It
We anticipated that each new brand leader that came in the process would need time to acclimate in their new position. Rather than waiting for them to formally kick things off, our team proactively began building an initial draft training deck, anticipating the materials needed (knowledge-check questions, approved content, communications). The checklist of everything we needed to execute was in place by the time everyone returned from the holidays.

Despite three changes with the brand team, over multiple weeks our approach stayed the same: clear documentation and transparent communication. In all these instances, each new leader was not familiar with the standard processes and procedures. To ease their adjustment, we briefed each incoming brand lead on decisions already made and next steps required, so no momentum was lost.
In addition, we built and walked the team through a show flow detailing the entire program ahead of every training session, ran prep calls walking through the entire training so presenters knew exactly what to expect, and choreographed smooth transitions between speakers and knowledge-check segments during the live sessions themselves.
Because we knew the client’s product, process, and people, we kept things running smoothly through each leadership transition. Throughout the process, our team provided more than execution—we provided continuity. The Result

The numbers spoke for themselves: 86% of the speakers were trained through the initial live virtual sessions. For the speakers who couldn’t attend, our team coordinated one-on-one training sessions with the brand team; ultimately, 91% of the bureau was fully trained and compliant ahead of the launch.
Just as important was how smoothly the program came together. Despite a compressed timeline and three separate brand team transitions in a matter of weeks, the client experienced a seamless process from start to finish.
